Blog Conference Prep: Must-Haves for your tote bag

Welcome back to the Blog Conference Prep series that Shell from Things and I Can’t Say have been sharing with you! If you missed any of the posts, you can catch up here:

Today, we’re talking about what to pack. No, not clothes-wise- that’s an entirely different post coming soon! Instead, today we’re talking about what to pack for your room at Blissdom at Shell’s while I cover what to have for your day bag.

Conferences involve a lot of walking and talking.. and walking and talking.. and walking and talking.. did I mention walking and talking?? The last thing you want to do is have to run back to your room constantly for something you may need- especially at the Opryland Hotel. This hotel is HUGE and you can get lost just trying to find your room.(or so I’ve heard.. ahem.) So, it’s important to carry a few essentials in a great tote bag for the conference.

Refillable water bottle. I cannot stress the importance of this. Along with a spare bottle or two of water, this can be one of the most valuable tools at a conference. Remember all that talking we discussed? Your throat will get dry, and there are hundreds of people looking for water. Be prepared!

Business Cards. Preferably in a front or easily-accessible pocket. This is your main way of communicating with others after the conference, so make sure you hand them out! Do not feel self-conscious about giving out your cards, it’s completely acceptable- and expected- at blog conferences. So share those cards as much as possible (especially if they have your picture on them).

Pen and Paper. Yes, really. Granted, my iPad will be with me for note-taking and internet access, but sometimes, it’s a lot easier to jot things down on a piece of paper, especially in between sessions. You never know what info you might want to take down while talking to one of the amazing brands at a conference, or what notes you want to take after meeting your blogging idol. Conferences are full of inspiration and connections, so be ready to write it down.

Your cell phone AND charger. Bringing your cell phone may sound like a no-brainer, but if we’re checking things off, let’s make sure we’re including the essentials! Think of your cell phone as your life line. You can tweet, email, and text to your heart’s content, sharing conference information with your twitter followers, emailing yourself blogging inspiration or texting a friend so you don’t feel so lost. Finding a spot to recharge may not always be easy, but it can be done.

Cough drops & Tissues. Okay, this one may just be for me, but when I was at Bloggy Bootcamp, I got the worst tickle in my throat. There is nothing like a room full of amazing speakers sharing their knowledge having to stop because you’re at your table hacking away. Have things like cough drops and tissues readily available- for you and those around you. You can become someone’s instant hero with these essentials.

Bonus tip: Leave your laptop in your room. When there is such a fabulous conference going on with so many internet-ready people, you may not be able to get online with wifi. Plus? That thing gets heavy! Do your shoulders a favor and  leave it in the room.

Networking at conferences: How to talk to brands

Welcome to the latest installment of the Blog Conference Prep series that Shell from Things I Can’t Say have been sharing.

Today, we’re covering networking. Shell is talking about why you shouldn’t be afraid to talk to people at conferences, while I’m discussing how to communicate with brands. Remember, brand representatives are people too!

Talk about yourself- a little.

While you don’t want to monopolize an entire conversation with a brand representative, you do want to make a lasting impression. Share something memorable about your blog, such as a feature you do or a story you shared that relates to their brand. Make it clear why they should remember you.

Do not start by demanding “stuff”.

Brands attend and sponsor these events looking to promote their products, first and foremost. Many of them also attend to grow their community and network with bloggers. By the fact that they are at a blogging conference in the first place demonstrates that they at least have a basic understanding about how awesome bloggers are at spreading the word about brands.

Keep in mind, timing is everything.

Chances are, brand representatives are not going home and immediately sending out emails to bloggers. While many will do this as an initial contact, many promotions and programs are not going to start the week following a conference. For example, last year, a group of bloggers were invited to attend a brand event five months after Blissdom- and more opportunities to work with the brand continued throughout the year. Make your connections, keep in contact, and do not expect immediate results.

Maintain an open mind.

While there are many major, well-known brands at conferences, do not let the fact that a table or booth is advertising a brand you don’t recognize discourage you from engaging. Start-ups, local companies, and smaller businesses that attend these conferences can be the perfect partners for you to work with in some way. Beyond learning about something new, you may have first access to the next great thing.

Blog Conference Prep Series: Prep your Blog

Welcome to week 2 of the Blog Conference Prep series. Shell from Things I Can’t Say and I are walking you through all things necessary to get to Blissdom stress-free and.. well.. blissfully!

This week, we’re all about the details preparation. With only six weeks to go, it’s the perfect time to prepare your blog with me and your life with Shell! Review our tips and don’t miss the business card template download or the Babsyitter/Daddy Do checklist download over at Things I Can’t Say.

Prep your Blog

With the conference fast-approaching, now is the perfect time to get things in order on your blog. You will want to have business cards so you can effectively network while at the conference; before designing your cards, however, you want to make sure your site is the way you want it to be when new visitors come by to take a look. Be sure that your blog:

  • Is easy to navigate. Nothing frustrates a reader more than not being able to find their way around a blog. If it is too confusing, they will simply click away. Make sure it’s easy for them to navigate your posts, return to the home page, and get to where they need to be reading.
  • Has a search option. Have you ever arrived on a blog via Facebook or Twitter, or through your reader, only to find yourself lost on a different blog a half hour later? Me too. But this presents a problem a few weeks later when I want to reference some awesome information I had come across and I need to search for it. Make it easy for people to share your content. And on the note
  • Is easy to share. Where are your social sharing icons on your blog? If your only answer is in your sidebar, then you need to go add them in after your posts. Go on. Right now. (Don’t have them in your sidebar either? Here’s a quick tutorial for creating social icons and getting them in there.)
  • Has contact options. You will meet fabulous people at Blissdom. It’s a given. After the conference ends, you can bet that many of them will want to contact you. In the event that they lost your business card (hey, there are a lot of business cards at Blissdom!) make sure you have a contact form, or at least an email address, on your site.

Prep your Business Cards

Your business cards are one of the most valuable things you can bring to Blissdom. While it’s true some can get lost in the shuffle, it is a great tool for connecting and networking at a conference. Be sure that your business card includes:

  • Your name. It’s nice for people to know your actual name beyond the blog- and helpful for professional opportunities.
  • Your url(s). You want to be sure that people can find you when all the excitement dies down a bit.
  • Your social networks. Again, make it easy for people to connect with you!
  • A picture. I cannot tell you how valuable this is to me. I use the same picture for Twitter, my gravatar, and anywhere else on the web I might go. I also put this on my business cards. Sometimes having a face to a name can be really useful.

Blog Conference Prep: How to Anticipate Costs

It’s January 2012, and you know what that means? It’s almost February.

Blissdom ’12 is coming to Nashville, and my other half Shell and I can’t wait to rock it.

Over the next several weeks, Shell from Things I Can’t Say and I are going to share some of our blog conference advice. Blissdom is the conference that is coming up next for both of us (don’t miss Shell- she’s a Blissdom Community Leader this year), though most of our advice will work for any blog conference.

The most important tip is to plan and budget ahead for Blissdom. You will be traveling, so there are gas costs or plane costs, your ticket, your hotel room, possible taxi fares,  food and snack expenses, as well as any drinks you may decide to have while you’re there. It’s a conference, which is a bit like {awesome} business meetings and a vacation all in one. Plan accordingly and expect a few costs along the way.

Do plan ahead. With hundreds of fabulous women (and some pretty great men too!) flying into the Nashville area, grab someone to share a taxi with on the way to the hotel. You can cut costs, find a friend or two, and share in the excitement that only other Blissdom attendees quite understand. This works for your hotel room too! There are some pretty big beds in those rooms- find a roommate! Check the #Blissdom hashtag for others looking too.

Don’t wait until the last minute. The Gaylord Opryland Hotel is one fabulous venue- and as a result, fills up rather quickly. (Did you know that there is over 600,000 square feet of meeting and exhibition space??). Be sure to book your hotel room early so that you don’t end up having to change hotels on the last night (spoken from experience!).  Last minute bookings can get you relocated or more expensive, and that’s just not helping to keep costs down.

Do prepare to purchase some meals. Blissdom wonderfully supplies a fabulous breakfast and some yummy lunches, but dinner time is all about you. While their amazing evening parties provide some great food, it may not always be enough for a meal (hey, there is a LOT of walking).  Plan to hit a local store for some sandwiches and snacks for your room, or check out some of the inexpensive places in the Opryland instead of the fantasticly-yummy-smelling, though pricier, main restaurants.  Our plan this year? Grab a pizza before we hit the nighttime events (you can get one delivered!)

Don’t bring too many pairs of shoes. While there are opportunities to dress to every style, from flip flops to high heels, this place? Is HUGE. If I had to imagine how many miles we walked while at Blissdom, well, I just can’t. There is no exaggeration on how huge this hotel really is- it goes on and on and on. While it may be tempting to buy a few new pairs of shoes, save the expense and be comfortable (well, maybe one pair wouldn’t hurt. That’s still saving, right?)

A conference is a fabulous experience and should be anticipated with all the excitement possible. Be prepared for the costs involved, budget ahead of time, and share the costs where you can. This will leave you to enjoy all the awesome Blissdom has to offer.
